Groupwise to Google
Postini, GMAIL, Gapps deployments


Situation:

Martin was running Novell GroupWise as their email system (150 users). Novell Netware with GroupWise was no longer a dependable server. All subsidiaries had their own email servers with no Global system. May 2010.

Task:

Research the cost effective options to replace GroupWise. Find a system that could go Global, multi-lingual. Make sure we can search all emails including archives for legal issues.

Action:

I reviewed many options and narrowed the selection down to Microsoft Exchange and Google Apps. I reviewed the options of where the server should be (physical server, co-located or cloud based). I decided to use Google apps. Now that I knew where we were moving, I had to decide how to move the users with the least interruption of service. I decided to use one of our 30 domain names as a temporary mail domain and I would move one user at a time. I set up all the email accounts and as a user was moved I would forward the mail from GroupWise to Google Apps. Once I completed all users I would move the MX (mail exchange) records and the GroupWise server could be turned off. The next hurdle I encountered was to actually move all the emails and archive emails from GroupWise to Google Apps. The only issue I came across was the limitation of a 20MB email size. These emails were saved off and put in a special folder for the appropriate users, there were less than 50 emails this size. The training for the user was done as soon as there email was moved, the users really like the one on one attention. After two months all the users had been moved and we added ALL employees, we ended up with 200+ users for Neponset.

Result:

After the initial change for the users and getting used to “Google Conversations” everyone now loves using Google Apps, it works with all their devices with no issues. Since the initial cut over we now have ALL EMPLOYEES world wide on the system 700+ users. The other subsidiaries like the fact they have no server to maintain and can now see the calendars of everyone, even the ones outside their own plant.
