Budget Tool

Situation:
|
Ever since I worked for Nielsen (Dunn & Bradstreet) I have been involved with the budget process in every organization. Every company I have worked for usually has had a spreadsheet driven budgeting system. The spreadsheets are manually created and manually or spreadsheet linked together. No one ever likes the budget process. The same issues applied at Martin Engineering except in a Global respect.

Task:

Create a Budget Tool that is user friendly, can consolidate data, and securely accessible world wide. Multi-lingual was not necessary, but multi-currency was required. Payroll data should be supplied and calculations of benefits should be automated.

Action:
|
I created a database that was accessed by a PHP web page. I then worked with each country to integrate/import their data. Each subsidiary uses a different accounting/production/payroll system, so a different import tool was required for each subsidiary/system. Table names and field names were in local language, so it took a little longer to figure out translations of data. The import/integration tasks were then automated as much as possible. Payroll was unique as they wanted it done only when requested and the data itself had to be encrypted in the tables. Worked with each controller to understand their payroll calculations and created a script that would rebuild all payroll data whenever they chose to change benefit percentages. Sales Forecasts are entered by the user, but commissions from those sales are calculated and added to the budget automatically.

Result:

The Budget Tool is a great success doing payroll, sales and expense budgets. Users are able to enter data either in lump sum or itemized, into certain months or allocate across months, reporting and consolidation is instant. The controller from Brazil said it has reduced his budget processing time by weeks.
